TabulateNow is a bookkeeping app for resellers. It holds the records of your business, so we keep the amount of personal information involved as small as the app can function with. This policy explains what we collect, why, and what you can do about it.

The short version. We collect what you put into the app and what eBay reports about your own selling activity. We do not store your buyers' names, addresses, emails, or messages. We do not sell your data or use it for advertising. You can export everything, and you can delete your account and its data from inside the app.

1. Who we are

TabulateNow ("TabulateNow", "we", "us") provides the TabulateNow mobile app and its supporting services. If you have a question about this policy or about your data, write to support@tabulatenow.com.

2. Information we collect

Account information

When you create an account we store your email address and an internal account identifier. If you sign in with Apple or Google, we receive the identifier and email address those services release to us, which may be a private relay address if you chose to hide your email. We never receive your Apple, Google, or eBay password.

Business records you create

Inventory items, purchase costs, SKUs, purchase locations, sale outcomes, and disposals.
Income and expense entries, categories, dates, and notes you write.
Receipt photographs and the merchant, date, total, tax, and line items extracted from them.
Mileage trips, including the distance travelled and the location data recorded while a drive is being tracked.
Store names and settings.

eBay selling data

If you connect an eBay account, we retrieve data about your own activity as a seller: orders and their line items, sale prices, taxes, buyer delivery charges, refunds, seller fees, shipping label costs, listings and their status, and fulfilment details including tracking numbers. We store this in specific, typed fields that we have chosen in advance. We do not copy whole API responses, and we do not store fields we have no use for.

Purchases

Subscriptions are sold through the Apple App Store. Apple processes the payment; we never see your card details. Our subscriptions provider, RevenueCat, records which subscription you hold, whether it is in a trial, and when it renews or lapses, so the app knows whether your access is active.

Technical and diagnostic data

Our servers record operational information such as timestamps, request outcomes, and error codes so that we can keep the service working. Our logging is restricted to a fixed list of non-personal fields; raw request bodies, database messages, and the contents of failed records are deliberately excluded.

3. Information we deliberately do not collect

Your customers are not our users, and their details are not ours to keep. When we process your eBay activity we discard the personal information attached to it. Specifically, we do not store:

buyer or recipient names, addresses, email addresses, or phone numbers;
buyer usernames or plaintext eBay account identifiers;
messages, notes, or feedback exchanged with buyers;
payment instruments, card numbers, or bank details belonging to you or to anyone else.

The link between your TabulateNow store and your eBay seller account is stored only as a one-way keyed hash, which lets us recognise notifications about your account without holding your eBay identity in readable form.

4. How we use your information

To run the app: to store, display, and calculate your records.
To keep your eBay data current, including responding to change notifications from eBay.
To read your receipts and turn them into entries you can edit.
To measure and record your mileage while you are tracking a drive.
To determine whether your subscription entitles you to access.
To support you when you ask for help, to detect abuse, and to meet our legal obligations.

We do not use your data to train machine learning models, we do not sell or rent it, we do not share it for advertising, and we do not profile you.

5. Location

Mileage tracking needs your location. If you choose to track a drive, the app records your position while that drive is running, including when the app is in the background or your screen is off, because a journey does not pause when you put your phone down. Location is used only to produce the distance and route of trips you have started, is never used for advertising, and is never shared with anyone for their own purposes. You can decline or withdraw location permission in your device settings at any time; only mileage tracking stops working.

6. Camera and photo library

Camera access is used to photograph receipts. Photo library access is used only for images you pick yourself. Neither is used in the background, and we do not scan your photo library.

7. Service providers

We use a small number of processors, each for one purpose, and each bound to use your data only to provide their service to us:

Supabase — hosting, database, file storage, and authentication.
Mistral AI — optical character recognition for the receipt images you choose to scan.
RevenueCat — subscription and entitlement records.
Apple — App Store purchases and, if you use it, Sign in with Apple.
Google — if you use Sign in with Google.
eBay is the source of your selling data, accessed with the authorisation you grant and revoke.

We may also disclose information if the law requires it, to protect our rights or someone's safety, or to a successor in the event of a merger or acquisition, in which case this policy continues to apply to data transferred.

8. Where your data is held

Our infrastructure is hosted in the United States, and our providers may process data in other countries. If you are in the European Economic Area or the United Kingdom, transfers out of your region rely on the safeguards our providers put in place, such as standard contractual clauses.

9. Security

Data is encrypted in transit. Records are isolated per store by database-level access rules, so one account cannot read another's data. eBay tokens and other credentials are held server-side and are never delivered to the app. No system is perfectly secure, but we design for the smallest useful amount of data in the fewest places.

10. How long we keep it

We keep your records while your account is open, because bookkeeping data is only useful over years. When you delete your account we delete your stores and their contents, remove your receipt images, disconnect and revoke your eBay authorisation, and delete your subscriber record with RevenueCat. Backups age out on their normal schedule. We may retain a minimal record where the law requires it.

11. Your choices and rights

Export. Settings includes an export that produces spreadsheets of your sales, purchases, expenses, mileage, and inventory.
Correct. Every record the app holds can be edited or removed in the app.
Delete. The Delete Account option in Settings permanently removes your account and its data. It cannot be undone.
Disconnect eBay. You can disconnect your eBay account at any time, which stops further syncing.
Permissions. Location, camera, photos, and notifications are all controlled in your device settings.

Depending on where you live, you may also have rights to access, port, restrict, or object to our processing of your information, and to complain to your data protection authority. Write to us and we will help. We do not sell or share personal information as those terms are used in California law, and we do not discriminate against anyone for exercising their rights.

12. Children

TabulateNow is a tool for running a business and is not directed to children. We do not knowingly collect information from anyone under 13. If you believe a child has given us information, contact us and we will delete it.

13. Changes

If we change this policy we will update the date above, and we will give notice in the app before a material change takes effect.
